1: If the T breaks the rules of the RA or/and HOA rules or/and City /Government agency rules, rules or is suspected of this

A: Add the violation to the TCT in the "RULES VIOLATION " note for the tenant who is allegedly causing the problem

B: Add to the ticket# mentioned in A above any evidence, photos, videos etc about the case.

C: If you think the violation is a Maintenance problem and not due to the tenant process as you do for maintenance requests

D: Add in the "COMPLAINT MADE CONTROL .." note a summary of the complaint and the TK and NN/SN# that you created above.

If there is more than one complaint made , each complaint needs it own SN#

For example " 3/22 T complained about #6 smoking outside (TK 33342 NN "Rules violation" SN#2)

3/22 T complained about #6 eating their cat (TK 33342 NN " Rules violation" SN#3

2: PROCESS THE RULES FOR THE TYPES OF VIOLATION

3: Create a 3day notice based on the type of violation and then under "word processing document" for the tenant select the following

options

Under “Add History” select “Add note and attach document to tenant’s history”

Under “Category” leave empty

Under “Note:” Add the TK# and note and sub-note name (if any)

For example T33321 RULES VIOLATION , sub-note “ALLIGATOR”

Save

Add a note in the the TCT ticket under note “RULES VIOLATION” and the applicable sub-note that you added the document to the T “History” and ask JB if is ok

4: If an eviction has started already

A: Do not notify the tenant of the rules violation because doing so might invalid the eviction notice as the tenant may argue that it implies they can stay whereas the eviction action says they must move out.

B: Add a note in the TCT under PAYMENT CONTROL refer to the violation ticket"SEE VIOLATION TICKET#".

5: Let the HOA/CITY know we got the complaint and ask the tenant to resolve the problem immediately.

6: Let the O know about this violation and what steps you are taking to resolve it and that you will let them know once resolved

7: If T says they have resolved the problem, check it has been done, taking photos as needed/applicable, and once

Verified let the HOA or CITY know we believe the problem has been resolved and ask them to verify

8: WHEN TENANT REPLIES TO RULES VIOLATION

9 WHEN RULES VIOLATION IS RESOLVED

PROBLEMS /FEEDBACK

A: TENANT DOES NOT RESOLVE THE PROBLEM WITHIN 7 DAYS OF BEING NOTIFIED

Prepare a 3 day notice to perform or quit notice and attach it to the TENANT CONTROL TICKET in the RULES VIOLATION NOTES section and ask JB to approve it

B: ONE OF THE TENANTS MOVED OUT

1: Follow the policy for roommate moving out

2: Let the person who made the complaint the date the roommate above moved out and to let you know if the violation continues or not and

then follow steps 1-5 as applicable in this policy above (main section above "problems "

3: Let the O know you did step 2 and will keep them updated

4: Update all above in the TCT Rules Violation under the applicable sub-note

C: ONE TENANT CLAIMS A NEW ROOMMATE MOVED IN WITHOUT OUR APPROVAL

1: Follow the policy (rules violation for unauthorized occupant) even if the original tenant(s) moved out already and only new (unauthorized occupant(s)) remain
